F R Sharrock Ltd take the issue of security and data protection very seriously and strictly adhere to guidelines published in the General Data Protection Regulation (EU) 2016/679 which is applicable from the 25th May 2018, together with any domestic laws subsequently enacted.

We are notified as a Data Controller with the Office of the Information Commissioner under registration number Z694969X and we are the data controller of any personal data that you provide to us.

How we collect information from you and what information I collect

We collect information about you:

  •         From your application for a customer credit account or supplier account
  •         When ordering parts or booking in your machine for service/repairs.

 

We collect the following information about you.

For Customers:

Contact names, e-mail addresses, telephone/mobile numbers, address, your payment and delivery details, including billing and delivery addresses, credit card details, bank details including account number/sort code and date of birth (for non-limited company account applications).

For Suppliers:

 Contact names, e-mail addresses, telephone/mobile numbers, address, bank details including account number/sort code.

 

Why we need this information about you and how it will be used

We need your information and will use your information:

For Customers:

As required to establish and fulfil a contract with you, for example, if you make a purchase from us or enter into an agreement to provide or receive services. This may include verifying your identity, taking payments, communicating with you, providing customer services and arranging the delivery or other provision of products or services. We require this information in order to enter into a contract with you and are unable to do so without it.

To enable us to supply you with the services and information you have requested.

To analyse the information we collect so that we can administer, support and improve and develop our business and the services we offer.

To contact you in order to send you details of any relevant information and marketing material that suits your profile.

For all other purposes consistent with the proper performance of our operations and business.

 

For Suppliers

To undertake and perform our obligations and duties to you in accordance with our purchase order agreement.

To provide as trade references to other potential suppliers

For all other purposes consistent with the proper performance of our operations and business.

 

Sharing of Your Information

The information you provide to us will be treated by us as confidential and will be processed only by us or any third party, acting on our behalf, within the UK/EEA.  We may disclose your information to other third parties who act for us for the purposes set out in this notice or for purposes approved by you, including the following:

  •         If we enter into a joint venture with or merged with a business entity, your information may be disclosed to our new business partners or owners;
  •         To carry out due diligence on you as a prospective customer credit account holder, including but not limited to the carrying out of credit checks and the obtaining of trade references from relevant parties, whose data you have provided;
  •         If you are unable to make payments under the terms of your customer credit account, your information may be disclosed to any relevant party assisting in the recovery of this debt or the tracing of you.

 

Unless required to do so by law, we will not otherwise share, sell or distribute any of the information you provide to us without your consent.

 

Transfers outside the UK and Europe

Your information will only be stored within the UK and EEA.

 

Security

We follow strict security procedures in the storage and disclosure of your personal information in line with industry practices, including storage in electronic and paper formats.

We store all the information that you provide to us, including information provided via forms you may complete on our websites, and information which we may collect from your browsing (such as clicks and page views on our websites).

Any new information you provide us may be used to update an existing record we hold for you.

Data is electronically stored through a software application called Ibcos Gold. The data is stored on servers located at our head office in Wigan.  There are automatically executed daily backups saved on external tapes (on a 5 day rotation) which are stored securely off-site.

Data retained in paper format (e.g. customer credit application forms, supplier bank details) is kept in locked filing cabinet.

 

How long we will keep your information

We review our data retention periods regularly and will only hold your personal data for as long as is necessary for the relevant activity, or as required by law (we may be legally required to hold some types of information).

We will normally keep information for no more than 6 years after termination or cancellation of a product, contract or service we provide. In certain cases, we will keep your information for longer, particularly where a product includes liability insurances or types of insurance for which a claim could potentially be made by you or a third party at a future date, even after your contract with us has ended. 

 

Your Rights

You have the right at any time to:

  •         Ask for a copy of the information about you held by us in our records;
  •         Require us to correct any inaccuracies in your information;
  •         Make a request to us to delete what personal data of yours we hold; and
  •         Object to receiving any marketing communications from us.
